What is lumtrail? +

lumtrail is an AI and automation consultancy. We build the systems that stop service businesses from losing revenue they've already earned — automated missed call follow-up, lead response, AI phone answering, review generation, and websites designed to rank on Google Maps. We do the full build and hand you a running system.

Where are you based? +

London, UK — but we serve US clients exclusively. All work is delivered remotely via Zoom, Loom, and async tools. We work US Eastern and Central business hours so you're not waiting on a time-zone gap.

Why use a consultancy instead of just buying software? +

Software requires someone to set it up, configure it properly, write the automations, connect it to your existing tools, and keep it running when things break. Most business owners buy software, spend a week trying to figure it out, and abandon it. We handle the entire build and make sure it works for your specific setup — you get the result, not just a login.

Do you work with businesses outside of HVAC? +

Yes. HVAC is our primary focus because the missed call and lead response problems are especially costly there, but the systems we build work for any service business — plumbing, electrical, landscaping, roofing, pest control, law firms, med spas, cleaning companies. If you have leads to capture and workflows to automate, we can help.

How long have you been operating? +

lumtrail is a focused boutique consultancy. We don't take on a large number of clients simultaneously — we take on a small number and build things properly. Our track record is built on delivered results, not volume.

What is the Revenue Leak Audit? +

A structured 90-minute diagnostic session where we map your entire lead and operations workflow, identify every point where revenue is escaping, and calculate the exact monthly cost of each gap. You receive a written audit report within 24 hours. Most clients discover they're losing $3,000–$8,000 per month in recoverable revenue before the call is over.

Is the audit really free? +

The first two qualifying audits each month are free. After that, the audit is $750 — which applies as a credit toward any build. 'Qualifying' means you're a US service business with at least five inbound calls or leads per week. We don't run audits for businesses where the numbers won't justify automation.

Will I get a hard sell at the end of the audit? +

No. The audit produces a written report with specific recommendations. If we can build something that recovers more than it costs, we'll propose it clearly with numbers. If the fit isn't right, we'll tell you that too. We'd rather not take on a client where the ROI case doesn't hold up.

What do I need to prepare for the audit? +

Roughly: how many inbound calls you get per week, what percentage you answer, how many web leads come in monthly, your average job value, and what software you currently use (or don't use). If you don't know these numbers exactly, that's fine — we'll estimate from industry benchmarks and your revenue figures.

Do I have to commit to anything after the audit? +

Nothing. The audit is standalone. You get the report whether or not you continue with us. Most clients continue because the numbers make it obvious — but there's no obligation and no time pressure.

Pricing and ROI

How much does it all cost? +

Setup fees range from $500 for a standalone review generation system to $2,000 for a full AI voice agent build. Monthly management retainers run $150–$500 depending on the system. Most clients start with one or two systems, see the return, and add more. Full pricing is on our services page.

How quickly will I see results? +

Missed call recovery and lead response systems typically show measurable results within the first 7 days — you'll see response rates, bookings from previously lost leads, and revenue numbers you can directly attribute to the system. Review generation builds over 60–90 days as the volume compounds. Website SEO takes 90–180 days for meaningful Google Maps movement.

Is there a minimum contract? +

No. Monthly retainers are month-to-month — cancel any time. Setup fees are one-time. We don't lock you in because a system that works doesn't need a contract to keep you.

What's the typical ROI? When will I break even on the setup cost? +

We build to agreed specifications and test everything before handover. If a system isn't performing as expected within 30 days of launch, we diagnose and fix it at no charge. We don't walk away after the build — the retainer exists precisely because ongoing optimisation matters.

What exactly gets built? +

Depending on the service: a triggered SMS/email automation sequence (missed call recovery, lead response, review requests), an AI voice agent configured with your business details and connected to your scheduling software, or a custom-coded website with Google Business Profile optimisation. Everything is specific to your business — not a template or a demo account.

What tools do you use? +

We work with the tools that best fit your setup. Commonly: Make.com or Zapier for automation logic, Twilio or similar for SMS/voice, Jobber, Housecall Pro, Workiz, or ServiceTitan for field service integration. We don't push tools for commission — we use what works for your situation.

Will the AI sound robotic to my customers? +

No. Modern AI voice agents speak naturally, handle interruptions, and respond to follow-up questions in real time. They're trained specifically on your business — your services, your prices, your coverage area. In practice, most callers experience it as a professional, responsive receptionist. It's a better experience than reaching an overwhelmed human or voicemail.

What if something breaks after the build? +

If you're on a monthly retainer, we monitor and fix issues as part of the ongoing management. If you've taken the setup-only option, we offer a 30-day support window after launch. After that, we're available for ad-hoc support — most fixes are minor and quick.

How long does the build take? +

Missed call recovery and lead response systems: 5–7 business days from audit. AI voice agent: 7–10 days. Review generation: 5–7 days. Websites: 10–14 days. Complex multi-system builds may take up to 3 weeks. Timeline starts from the point we have everything we need from you — access credentials, confirmed copy, and signed scope.

Can the AI handle emergency calls? +

Is asking customers for reviews against Google's rules? +

No. Requesting reviews is explicitly permitted by Google. What isn't allowed is incentivising them — paying, discounting, or offering something in exchange for a positive review. Our system sends a polite post-job request with a direct link to your Google profile. This is fully within Google's policies.

How long does it take to rank on Google Maps? +

Do I need a completely new website or can you work with my existing one? +

If your existing site is technically sound, loads quickly, and has the right structure, we can work with it. If it's slow, built on a dated platform, or structurally weak for local SEO, a new build is usually faster and more cost-effective than patching what's there. We assess your current site honestly during the audit.
